Planning/running a trip

Land access fees
If the land that the trip is being run on requires land access fees it is up to the trip organiser to collect these fees from the vehicles going on the trip. Land access fees are usually payable per vehicle, irrespective of number of people involved, but some locations/properties will charge an overnight fee per person to use camping facilities. It is up to the trip organiser to collect all these fees, as conscientiously as possible so as not to 'rip off' the land owner, and forward the payment to the necessary person (ie, land owner or access administrator). Kiwi4x4 Incorporated will not be involved in collecting fees and making payments unless the trip is of a size that administrative support is required.

Any excess fees collected should be forwarded to the Kiwi4X4 Incorporated bank account and the Treasurer be notified.

Visitors

Policy
It is up to the trip organiser as to whether or not they are prepared to accept visitors on their trip. Generally the only reason that you wouldn't want visitors is if the trip is fairly hard-yakka and you need to be sure of who is going to be attending (assuming you know existing members and their capabilities).

Visitors are only able to attend two Kiwi4x4 Incorporated trips before they are required to join. This is because they are making use of the Kiw4x4 Incorporated framework and planning.

Fees
If the trip organiser states that visitors (ie, non-members) are welcome on their trip then a small visitors fee will be required. This fee is usually $5 to cover the insurance costs of the trip. However, this fee may be increased depending on the trip and how much work is required to organise the trip, or to cover any other incidentals that may be associated with the trip.

If the visitor is already a member of the NZFWDA through another club then the $5 visitor fee can be waived, as their insurance costs are already covered through their membership. Therefore, if the fee is greater than the $5 default then the fee that existing NZFWDA members would be Total visitor fee - $5.

Any visitor fees collected should be forwarded to the ZKiw4X4 Incorporated bank account and the Treasurer be notified or the fees and signed trip sheet be handed to the Treasurer if possible.
